imagio e-mail Archiving Specifications
Storage Process: The imagio platform is tightly integrated
into the client user interface, and securely storing e-mail
is as simple as click of a button. Using the imagio platform,
a user can select one or multiple e-mails to be stored by
simply highlighting the e-mails and pressing a “Store”
button, which will send the e-mail and attachments to an imagio
repository. The user will be prompted to provide meta-data
index values for the e-mail(s) if the option for meta-data
is selected in conjunction with full text search capabilities.

Format: All e-mails stored
using imagio are stored in text format or as an MSG file depending
on your e-mail client. All attachments are saved with the
same metadata as the e-mail. All header, body and frame information
is original, along with the original distribution group. And
all e-mails and attachments are full content searchable if
your repository is content enabled. When a user retrieves
an e-mail stored using imagio, the e-mail and any associated
attachments are displayed in the imagio Search result list
ready for viewing.
Structure: The imagio system employs a repository
structure that allows e-mails to be stored in virtually any
configuration our customers specify. For example, it may be
necessary to store an e-mail in five separate repositories,
with each repository having specific access rights.
Retention: The imagio platform is completely
configurable by the customer, retention dates and actions
can be made or modified by the administrator at any time.
For example: The administrator can set a rule that an e-mail
should move off the repository structure on onto a tape backup
rotation cycle after five years from the date the e-mail was
originally archived, to be completely deleted from the tape
backup exactly five years and six months from date of original
archival.
Reporting: All current and historical usage
and modification data is available to appropriate parties
in both a real-time, browser-based dashboard and through complete
system logging.
Availability: The imagio platform allows
users to perform all functions, including storing, indexing
and retrieving from any Internet connection. The imagio platform
is both software and a service. Our level of service exceeds
99.95% uptime on a 24/7/365 basis.
Modification: imagio does allow changes to
original archived e-mail. The duplicate of the original archived
e-mail. Most compliance law requires the original document
be left unmodified. imagio logs all "changes" and
document "touches" automatically via our auditing
functions. Changes are allowed by "overlays", but
the original is left unmodified.
Compliance: With the threat of government
fines, penalties, and lawsuits being issued to businesses,
e-mail compliance is a major concern. The imagio platform
has been designed with compliance in mind. We only need to
know your company’s particular compliance needs, and
the system will be tailored to meet these requirements. Imagio
can meet such stringent compliance as SEC, FDIC, Open Records,
Records management, DOL, and many other compliance needs that
you may have.
