What is Workflow?
Workflow is a method by which businesses can map out the process
flow of documents and records, called packages. Packages can
contain virtually anything, paper records, images, email,
word documents, and more. Workflow allows the business to
then track these packages as they flow through the specified
process. Workflow significantly increases a productivity process
by allowing a business to set rules and exceptions in their
process. Workflow is a completely digital process, so
there is no more paper to shuffle or pile up.
imagio Workflow
imagio Workflow is an integrated component of the imagio platform.
This integration not only allows users to easily manage their
document and records, but it also allows them to manage the
workflow process of these documents and records from one user
interface. Current imagio customers will be able to enable
workflow, and soon be managing their processes. Customers
not currently using the imagio system can easily import their
electronic documents and records into the imagio system, and
be up and running in no time.

Workflow Features
Users can easily access the Workflow feature by Simply clicking
the “Work” tab in imagio. You will then be able
to access your workflow packages. Packages are held in specified
groupings called “Queues.” By selecting a queue
you can view all the packages it contains. User specific settings
are applied to these packages, which will determine the actions
each user can perform on them. Some of these settings may
include:

View a list of the package objects (documents). |

The ability to view and modify the package properties. |

The ability to view the workflow map. |

The ability to view and modify the contents of the package. |

The ability to add to the package by dragging and dropping
documents from a result list or explorer window. |

The ability to close the package by unlocking it or
leaving it locked and in the user’s inbox. |

The ability to complete the package from the current
queue and have it continue through the workflow. |
Workflow
Map
The workflow map is a visual representation of the assigned
workflow; it displays all the queues within a workflow process.
This feature allows the user to see the entire workflow process,
and it also allows the user to see where the package currently
resides in the process.
Package Search
Users assigned to a workflow will be able to search for packages
by various criteria including package title, date created,
status, or a combination of these parameters.
Package Properties
Package properties can be available from the user's Inbox,
a queue, or a workflow form. The package properties include
such information as Package Title, Status, and Current Queue
that will help identify the package and its current state.
Pricing
Pricing is pain free with iMagio Workflow. It is, we believe,
the first fully functional workflow product/service that is
charged based upon how much you use it, as opposed to old
fashioned and restrictive concurrent user pricing models.
While our pricing model does have a small minimum monthly
fee, it is charged on a monthly per "work packet"
basis. The more packets per month that you have, the less
per packet you pay. If your business cycle is extremely heavy,
then you pay a little more, if your business drops off, then
your monthly billing declines accordingly. It is reassuring
to know that if your business volume drops off, your costs
drop as well. Our pricing is detailed to you based upon your
individual volumes and business cycles, and is presented in
the Proposal Presentation.

An initial discussion that focus on areas of your business
where high volume production produces opportunities to streamline
and automate decision making processes. These processes may
involve paper, host data, PC data and many other components.
We can quickly help you asess if there is opportunity for
improved customer service, reduced costs, and increased efficiency.
There is not typically a charge for this service.
In depth Fact finding Session
When it appears opportunity exists for beneficial technology
to be employed, this session focus' on gathering the underlying
information for us to prepare the cost/benefit and proposal.
There is typically not a charge for this service.
Cost/Benefit Presentation And Proposal
A formal review of what we have found and what we believe
our technology can do for you and your company. At a high
level, costs and savings are projected for your consideration.
Again, no cost is involved in this step.
Demonstration
We demonstrate how the technology that we use can address
your business process issues. We do it so that it makes sense,
is easy to understand, and relates to the issues that you
are trying to solve.
Development And Testing
At this stage, we design, certify, and develop the solution
that we have agreed upon with you. We work from a Statement
of Work that is agreed to by both of our companies. The solution
is thoroughly tested and documented prior to deployment.
Deployment
The solution is installed, or implemented as per the specifications
in the Statement of Work.
Training And Follow On Support
Train the trainer and key end user training are accomplished
at this step as the solution is implemented in your company.
Review
Key review sessions are conducted post deployment to evaluate
our process and our success in meeting your goals.
