Scanics has the state-of-the-art technology needed to convert your paper files into electronic images. We can scan a wide variety of documents, format the output to your retrieval specifications and make the files viewable from virtually any platform.

Almost anything with ink on paper can be fed through our scanners, even large format documents.

Minimum size 2.5” x 2.5”.
Maximum size 42” x unlimited length.
Materials ranging from onionskin and blueprints to mylar and sepia.
Multiple outputs including, but not limited to, TIFF G3, TIFF G4, multi-page TIFF, PDF, JPG and Bitmap.
Resolutions from 72 to 800 dots per inch (dpi).
Black and white, grayscale and full color images.
Post-scan functions including deskew, despeckle, crop, and rotate.

To maintain document integrity and scanning accuracy, Scanics performs constant quality assurance checks through every phase of your imaging project, including:
• Project-specific training of scanning technicians and managers.
• Acceptance tests before beginning the job.
• Ongoing checks for image clarity, contrast, and skew.
• Manual comparison between hard copy and scanned images.
 
Pre-Scan / Post-Scan
Scanics will consult with you to develop the best document management solution. The Scanics process includes the following steps.

Step 1: Document Analysis – Scanics will perform a needs and compatibility assessment with your current systems, perform a review of your accepted legal format for business records, and create/manage a document retention and disposal strategy.

Step 2: Document Preparation – Scanics will prepare your hardcopy records to be fed through a high-speed scanner by removing staples, paperclips, binder clips, post-it notes and sorting records into predetermined document structure.

Step 3: Document Post-Scan – After your documents are imaged Scanics can provide services including replacing hardcopy documents into file folders, jackets, sleeves, envelopes, or reinserting them into file boxes or file cabinets. In addition, Scanics will recommend a document retention plan, scheduled dates for document destruction, or permanent document archiving.

Step 4: Indexing – Scanics will provide indexing services to ensure that all documents can be retrieved easily and incorporated into your information flow. Index tools include:

• Manual index keying
• OCR-assisted indexing and zonal OCR
• Full text indexing
• File renaming
• Format conversions
• Barcode reading
