Pre-Scan / Post-Scan
Scanics will consult with you to develop the best document
management solution. The Scanics process includes the following
steps.
Step 1: Document Analysis
– Scanics will perform a needs and compatibility assessment
with your current systems, perform a review of your accepted
legal format for business records, and create/manage a document
retention and disposal strategy.
Step 2: Document Preparation
– Scanics will prepare your hardcopy records to be
fed through a high-speed scanner by removing staples, paperclips,
binder clips, post-it notes and sorting records into predetermined
document structure.
Step 3: Document Post-Scan
– After your documents are imaged Scanics can provide
services including replacing hardcopy documents into file
folders, jackets, sleeves, envelopes, or reinserting them
into file boxes or file cabinets. In addition, Scanics will
recommend a document retention plan, scheduled dates for
document destruction, or permanent document archiving.
Step 4: Indexing
– Scanics will provide indexing services to ensure
that all documents can be retrieved easily and incorporated
into your information flow. Index tools include:
• Manual index keying
• OCR-assisted indexing and zonal OCR
• Full text indexing
• File renaming
• Format conversions
• Barcode reading
